Brief Review Meeting Notes · Feedback Clustering

Cluster scattered feedback into 3 themes + priority so creative knows what to fix.

Pain addressed · Pain #2: post-creative-brief reviews leave feedback scattered everywhere. Pain #1: AI summaries blend contradictory feedback into mush instead of surfacing what to decide.

You're a marketing lead skilled at coordinating creative teams. I just ran a brief/creative review with multi-source feedback. Cluster it and rank so creative can act.

# Review target
{review_target}

# Raw feedback (messy, contradictory)
{paste_raw_feedback}

## Step 1: Cluster
Group feedback into 3-4 themes:
- Theme name (verb-led)
- Specific points (bullets, tag the source person)
- Cost to fix (low/med/high) and impact on launch (must-fix / recommended / optional)

## Step 2: Flag contradictions
List a "contradictions" block:
- Describe the contradiction
- 2 resolution options with pros/cons
- Recommend 1, and name "whose call is needed if you disagree"

## Step 3: Action plan
| Item | Owner | Priority P0/P1/P2 | Re-review when |
- P0 = must-fix, P1 = recommended, P2 = optional
- Max 7 items (more means brief needs full rewrite)

# Rules
- Cluster, don't transcribe
- Don't avoid contradictions — name a decision-maker
- Be decisive on priority; don't mark everything P0

Workflow · 5 steps

  1. 1

During the review, push everyone to drop feedback in the Slack channel so you get raw text post-meeting.

  2. 2

Aggregate all feedback (Slack threads, voice memos transcribed, email replies) into one block and replace the placeholders.

  3. 3

When themes come back, audit the theme names yourself — bad naming means creative will fix the wrong thing.

  4. 4

Pay extra attention to the contradictions block: confirm the model named the right decision-maker.

  5. 5

Send the action plan to the creative lead; send the themes + contradictions to your CMO for sign-off.

Verify before you ship

AI's "almost right" is the #1 pain. Tick these off so reviewers can't find the obvious holes. (Checkbox state stays local — we don't track it.)

Why this prompt works

This prompt isn't a generic “write me a Meeting Notes & Decision Sync”. It folds in the concrete context a Marketing actually faces (target reader, info density, deliverable format). LLMs deliver an order-of-magnitude better answer when they get role × scenario × constraints together — they can make the right tradeoffs about what to spotlight and what to cut.

When to use

Best moment: you know roughly that you need to do a Meeting Notes & Decision Sync, but you're stuck on “how do I even ask the AI?” Muscle memory has no template. Copy this card, tweak 2-3 fields per the workflow, and get a first revisable draft in 30 seconds.

Common pitfalls

  • Send without tweaking placeholders · the draft reads as default-GPT and your reviewer spots it in 3 seconds.
  • Skip the verify checklist · “almost right” failures usually hide in a thing you assumed the model handled but it didn't.
  • Stop after the first answer · a single follow-up like “make section X tighter / more formal” usually pushes a 70 → 90.

Variants & extensions

Want to use this card more aggressively? Three extensions:

  • Swap languages: both EN/ZH prompts ship in the card — use the EN version when shipping to a Western audience.
  • Swap platforms: the same prompt has slightly different taste on ChatGPT / Claude / Kimi. The recommended-platform pill marks the best fit.
  • Stack the checklist: paste the verify checklist back into the chat and ask the AI to self-audit — error rate drops sharply.
